Short summary of the job: We are seeking a highly organized and detail-oriented individual to join our team as a Personal Assistant. As a Personal Assistant, you will play a vital role in supporting the CEO by providing administrative, scheduling, and logistical assistance. You will be responsible for managing the CEO's calendar, handling correspondence, and coordinating travel arrangements. You will also be responsible for maintaining confidentiality of all sensitive information.
Responsibilities
Maintain and manage the executive's calendar, including scheduling and coordinating appointments and meetings.
Anticipate scheduling conflicts and proactively resolve them to optimize the executive's time.
Handle incoming calls, emails, and other forms of correspondence on behalf of the executive.
Prioritize and respond to messages promptly, ensuring important matters are addressed effectively.
Assist in organizing and coordinating meetings, conferences, and events.
Prepare meeting agendas, documents, and presentations. Attend meetings, take minutes, and follow up on action items as needed.
Assist in managing and prioritizing tasks and projects for the executive.
Follow up on deadlines, and provide updates as required.
Coordinate with other team members or departments to ensure timely completion of projects.
Provide general administrative support, such as filing, photocopying, expense tracking, and office supply management.
Must Have
Bachelor's degree in a relevant field, such as business administration, communications, or organizational management.
Strong attention to detail and accuracy.
Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
Ability to work independently and as part of a team.
Excellent communication and interpersonal skills.
